Full Job Description
The primary responsibility of this position is to provide administrative support to the Compliance Manager. This includes administration, maintenance, documentation and verification of prerequisite programs of the Food Safety Management System as well as assisting in the implementation of the Environmental Management System.
Responsibilities
Legal Requirements
Review and update Food Safety and Quality Acts, Standards and Regulations.
Assist with registrations, certification and legal compliance.
Assist with External Audit Compliance and regulatory aspects.
Training
Assist with compiling training and awareness material:
Food Safety & hygiene
Personal hygiene
Standard Operating Procedures
Assist with training and internal refresher training for food handlers.
Assist with the verification of training effectiveness.
Documentation
Continuously updating food, safety and quality documentation.
Compiling of checklists, registers, work instructions, and other documentation.
Filing and document control documents for Quality Control.
Compile and complete minutes from the Food Safety Meetings and circulate and action.
Ensure Client and Customer documentation is completed timeously.
Internal Audits
Assist with gathering information
Completion of audit reports
Summarizing findings
Follow up on corrective actions
Identify areas for improvisation to continuous improvement
Pest Control
Managing pest control of all sites
Q-Pulse System
System Administrator
Managing Q-Pulse Reports
Uploading documents and actions and following up on actions
Corrective Actions
Assist with recording, updating and communication.
Effective handling of Corrective Action Process.
Assist with implementing and verification of corrective actions.
Follow up on corrective actions and closure of reports.
Food Safety & Hygiene Culture
Determine the current status of the Food Safety Culture in the company.
Ensure activities and plans are according to timelines and deadlines.
Establish an effective FS Culture by fulfilling requirements.
Effectively monitor and maintain an ongoing FS Culture.
Supplier & External Service Providers
Updating raw material supplier information, documents and specifications.
Handling, reporting and investigating supplier non-conformances.
Ensure VACCP is implemented and monitored.
Ensure Supplier SQA is implemented and effectively managed.
Verification of COA/COC of supplier upon incoming and receiving.
Office Assistance (Cleaners) & QC Development
Ensure supervision of Office Assistants/ Cleaners.
Ensure cleaning stock is in order against budget and timeously.
Ensure monitoring and verification of Office Assistants’ activities and duties.
Ensure monitoring and verification of QC Developments activities and duties.
Ensure documentation is compiled and completed for tasks and duties.
Assist with Internal Customer Service.
Trending and Data Analysis
Compiling of data and information for continuous improvement.
Compiling of data and trending for Customer Quality Analysis.
Data Management for internal processes and internal interested parties.
To assist the Compliance Manager with all aspects of the Food Safety and Quality Systems.
To obey all reasonable and lawful orders and instructions which may be given by Management.
Requirements
Minimum Qualification and Experience
Tertiary qualification in Chemistry, Quality Management or Food Science
Diploma or certificate in Auditing would be an advantage
Course or Certificate in Internal Auditing
Course or Certificate in GMP and Pre-Requisite Programmes
Course or Certificate in ISO14001:2015 Implementation
5 years of experience in the food industry or equivalent
Highly proficient in Afrikaans and English
